Clubhouse Rental & Tennis Court Rules

 At times, you may wish to rent the Clubhouse for a special event, especially if you’d like to invite more people than your unit can hold.

If everyone treated the Clubhouse as they do their own house, we wouldn’t need most of these rules. It’s unfortunate that we need to tell people not to trash the place! For most of us, these rules are basically common sense and common courtesy.

There really aren’t any Tennis Court rules…

A key to the tennis court is available for unit owners at the office during normal business hours (10 AM – 6 PM). A deposit of $10 is required and the key may be kept for an hour, the season or until the unit is sold.

 

Rental of Charter Communities Clubhouse

The amount of the Rental Fee can be obtained from the Management Office. It is due 2 weeks prior to the reserved date. The security deposit is amount is also available from the Management Office. It will be forfeited if the Clubhouse key is not returned to the Office. Abuse of the Clubhouse or the adjacent area will result in forfeiture of your security deposit, possible legal cost for damage, and permanent denial of your future use of the Clubhouse. Complaint by an owner or resident regarding abuse of any of the following provisions may also result in forfeiture of your security deposit, possible legal cost for damage, and permanent denial of your future use of the Clubhouse. This security deposit will be available for return after three working days assuming that there are no damages or complaints.

 

1. The Clubhouse is available for rental by owners and residents of Chappelle Villas/Charter Oaks only. When the pool is open during the summer season, Clubhouse must be vacated by 12:01 a.m. At all other times the Clubhouse must be vacated no later than 1:00 a.m. (except for New Year’s Eve – 1:30 a.m.).

2. All furniture must be returned to the original configuration placement as per diagram on kitchen wall. Also, all personal property must be removed by 10:00 a.m. the following day.

3. Whenever the pool is uncovered (i.e. mid May to late September) a Lifeguard must be on duty during the rental. If the party occurs during normal pool hours, any guest using the pool must pay the correct fee, obey all pool rules and provide their own chair. After 8 p.m., the lifeguard is paid hourly, therefore, party guests may use the pool but they are still bound by our pool rules and must remain under lifeguard supervision. Arrangements for, and payment of, a Lifeguard must be initiated by the Renter via the Property Management office. Lifeguard(s) must remain on duty from 8:00 p.m. until the earlier of the end of the event or 12:01 a.m., at which time the Clubhouse must be vacated. Under no circumstances is anyone to be allowed in the pool area unless a Lifeguard is on duty.

4. Liquor may not be served whenever the pool is uncovered (i.e. mid May to late September). Alcoholic beverages are not to be served to anyone under the age of twenty-one (21).

5. The kitchen and all appliances must be cleaned after use. Any damage or poor operation of such equipment must be noted when your deposit is picked up.

6. As a courtesy to the residents in the surrounding area, your activities should be restricted to the inside of the Clubhouse and/or the fenced in pool area. All children must be under adult supervision at all times. The surrounding residents shall not be disturbed nor deprived of quiet and privacy.

7. No glass containers or breakable dishes, etc. are allowed in the pool area.

8. Use of a grill is only allowed on the grassy area in front of the Clubhouse, at least ten feet from the buildings.

9. No adhesive materials are to be used on walls, ceilings, or lighting fixtures. Masking tape may be used on the wood areas only. Decorations and the tape must be removed by 10:00 a.m. on the day following the rental. Any signs and/or balloons tied to the lampposts on the streets must be removed within 24 hours.

10. All music must be confined to the interior of the Clubhouse. Bands, sound systems, or other devices generating music are not allowed outside or on the pool deck. It is the Renter’s responsibility to keep the noise level down in consideration of surrounding residents

Exceptions will be made for:

Funeral breakfasts because it is rented “as is.” The fee will be reduced. Check with the Management Office for the amount of the rental fee and security deposit.

Use of the Clubhouse for business use may be permitted, but only with prior approval by the Board. Business use will be considered on a case-by-case basis.

Any other exceptions to the above rules must be presented to the Association Board of Directors for consideration at their monthly Board meeting prior to the event.

11. Insurance certificate showing required coverage must be submitted prior to use of the Clubhouse for ALL RENTALS.

12. A copy of the Clubhouse rules (and the pool rules, if applicable) must be signed for at the time the Clubhouse is reserved.

Please Note:

In order for action to be taken on a complaint, it MUST be submitted in writing, to the Management Office. Although it is signed, this information will remain confidential. The complaint must be specific – who, what, where, and when. It can be handwritten, or typed, but must be signed. It need not be formal, but must include the pertinent facts… who did it, what they did, when they did it, and where (approximately) they did it. You will get a copy of the letter that will then be sent to the offender. (If you do not get a copy of this letter within a week, please contact one of the Board Presidents or other Board members.)

Violation of the above rules will result in a fine if the violation continues after a warning has been received.
